Location: All-inclusive accommodations, meals, and activities, take place at a specific home of choice per Gathering and can vary from event to event; exact location and address will be shared with registered guests after confirmation and within 30-days of the event date.
Host: The retreat is sponsored and hosted by Julie Barnhill.
Health and Medical: Guests of Solace Gathering should be in good overall health. Participants are responsible for ensuring that they have adequate medical coverage while attending the retreat and making known any and all allergies (food or otherwise) to Solace Gathering. Guests should bring proper insurance cards and ID in case of medical emergencies.
Registration and Payment: Enrollment is limited and is predicated on a first-come, first-booked basis. We require a fifty percent (50%) deposit payment to book a reservation. This deposit is payable by credit card and other cash apps such as Venmo, Square Cash, and Paypal. The balance is due no later than 45-60 days prior to the event date (each event will vary and said details will be fully explained at the time of booking). Full payments are accepted. Persons wishing to register on, or just after, the event date will be accommodated as space allows and must pay the full cost of retreat at the time of registration. The registration cost does not include air travel, individual golf cart rentals, paddleboards or kayaks not included with the Solace Gathering property, gratuities, adult beverages (other than those provided at Solace), or island excursions other than those provided by Solace.
Cancellations and Changes: It is your responsibility to read and understand our cancellation policy before making a reservation. No one books with the intention of canceling or postponing their retreat, but unexpected things do happen, so please purchase travel cancellation insurance once you have made your reservation.
GUEST CANCELLATION POLICY
If you cancel your trip, Solace Gathering does not offer refunds for any reason. A portion of your payment may be used as credit for another retreat to be taken within two years of your original retreat date. We will gladly transfer your credit to another guest.
Depending on when you cancel, cancellation penalties may apply. Fees are determined by the following schedule:
- If you cancel more than 90 days before your retreat start date, 100% of your payment may be applied to another Gathering.
- If you cancel 60 – 89 days before your retreat start date, 75% of your payment may be applied to another Gathering. You will forfeit 25% of the price of your retreat.
- If you cancel 15 – 59 days before your retreat start date, 40% of your payment may be applied to another Gathering. You will forfeit 60% of the price of your retreat.
- If you cancel 14 days or less before your retreat start date, you will forfeit your entire payment.
Note: Solace Gathering reserves the right to cancel the retreat prior to the event date for circumstances deemed unsafe for those attending (e.g. pandemic, war, terrorist activity), as well as for life-threatening weather conditions such as hurricanes, fire, natural disasters, and unforeseen mitigating factors–such as COVID-19 presented. If Solace Gathering must cancel a booked retreat date for any reason, you may transfer your full retreat payment to another retreat, or you may request a refund of your payment to us, constituting a full settlement. Solace Gathering is not responsible for your expenses incurred in preparation for any canceled retreat, such as airline tickets, loss of work, and/or other costs associated with preparing for your trip.
Travel Insurance: Since last-minute injuries, illnesses, work emergencies, unfortunately, do happen, we strongly encourage that you purchase travel insurance. Depending on the policy and conditions, travel cancellation insurance will pay for some or all cancellation fees. Accommodations: Accommodations are provided in private single-family homes. Home locales are shared with all Solace guests and bedroom /bathroom details will vary per calendar event. Accommodations will be assigned on a first registered, first-requested basis with varying allowances for Private and/or Shared room requests. We do our best to make it happen.
Meals: Meals are a delicious well-rounded celebration of proteins, vegetables, fruits, healthy carbs, and desserts. Dinner will be served on our first evening together (Sunday) with a brunch and dinner following daily throughout the week. Drink and food items will be available to early risers as well as late night snackers. Solace does not provide exclusive dietary menu requests (such as gluten-free), but certainly takes into careful consideration any food allergies noted by guest(s). Trust us when we say, no Solace Gatherer has ever gone hungry.
Arrival and departure: Solace begins at 4:00 PM on Sunday the date of arrival. The retreat comes to a close after an early morning breakfast the following Friday. Careful attention will be made to airline departure times and appropriate arrival time from the island.
